Order Custom Printed Bags Across Borders: Delivery to Your Hotel, Office or Venue
Share
If you need custom printed bags to be waiting at a hotel, office or event venue in another country, you can order them online from wherever you are and have them delivered straight to that address.
Your company can be based in the United States, Dubai, Singapore, the United Kingdom or anywhere else, as long as the bags are going to a European destination.
This guide explains how the whole process works, what to arrange with the venue, and when to order so the bags are in the room before your guests are.
Can you order custom printed bags in one country and have them delivered to another?
Yes, and it is a perfectly normal way to order.
Your billing address stays in your own country, and the delivery address is simply the place in Europe where the bags need to be. The two do not have to match.
The bags are produced in Europe and shipped inside Europe, so you never have to import anything yourself. That is the main reason this works so smoothly for events with a fixed date.
We deliver to all 27 EU countries, and standard delivery within the EU is included unless the product page says otherwise.
What matters to us is where the bags are delivered, not where you are sitting when you order.
Who orders custom printed bags for delivery across borders?
Three kinds of buyers use this route most often.
The first group is businesses inside the EU who order for another EU country. A head office in one country, for example, orders welcome bags for a conference that takes place in another.
The second group is companies and organisers based in Europe but outside the EU, such as in Norway, Switzerland or the United Kingdom, who need bags at an EU venue.
The third group is companies from further away, such as the United States, Dubai or Singapore, who are running an event, a meeting or an office opening in Europe.
All three place the same kind of order. They choose the bag, upload the logo, enter the delivery address in Europe and pay online.
The only thing that changes is how VAT is handled, which we cover further down.
How does ordering for a delivery abroad work, step by step?
It takes six steps, and most of them only need a few minutes.
- Choose the bag. Pick the style, weight and colour that suits the event, and check the price for your quantity on the product page.
- Upload your logo. A vector file (AI, EPS or PDF) is best, although a high-resolution PNG can work for simple designs.
- Enter the delivery address in Europe. Use the full address of the hotel, office or venue, plus the name of the person who will receive the parcel.
- Pay online. Prices are shown in euros and exclude VAT, and the VAT for the delivery country is added at checkout.
- Approve the proof. We check your artwork and send a digital proof, and nothing is printed until you approve it.
- Wait for the delivery. Production and delivery normally take 10 to 15 working days after you approve the proof.
Minimum orders start at 25 pieces per design on selected bags, so even a small team event can order professionally printed bags.
If you would rather talk it through first, send us the delivery country and your quantity, and we will confirm the details before you order.
Can the bags be delivered straight to a hotel, office or event venue?
In most cases, yes.
We can deliver to a company address, an event venue, an office, a hotel or a warehouse. We also ship blind at no extra cost, which means the parcel carries no Prints & Bags branding and no pricing documents.
Blind shipping is handy when the bags are a surprise for the guests, or when the front desk should simply see a delivery for your event.
The one thing every address needs is a named person who will receive the parcel. Venues often refuse deliveries addressed to nobody in particular.
If you are ordering for a hotel or resort that is far from your home market, our page on custom bags for hotels, resorts and international venues explains the process in more detail.
A complete address and a named contact solve most delivery problems before they start.
What should you arrange with the hotel or venue before the bags arrive?
A short email to the venue a few weeks ahead saves a lot of stress on the day.
Ask whether the front desk or the event team accepts deliveries for guests or organisers, and from which date. Some venues only accept parcels a few days before the event, and others cannot store large boxes.
Agree who will sign for the parcel, and give us that name and a phone number for the courier. Also check the hours when deliveries are received, because a courier who arrives on a Sunday may find nobody there.
Ask where the bags will be stored and who will bring them to the registration desk or the guest rooms. For a wedding, confirm whether the hotel can place the bags in the rooms, and whether it charges a handling fee.
Once the venue has agreed in writing, send us the exact delivery details and keep that email handy.
When should you order bags for a conference, wedding or event?
Count backwards from the day the bags need to be in the room, not from the day the event starts.
Production and delivery normally take 10 to 15 working days after you approve the proof. Add two to three days for the artwork check and for your own proof approval, which is the step that most often gets delayed.
Then add a buffer of a few days so the bags can arrive early and be checked. For a fixed date, ordering about four weeks ahead is a comfortable plan.
For events abroad, leave extra margin for the venue's own rules, since some hotels only accept deliveries within a short window.
If your deadline is tighter, contact us before you order and we will tell you honestly whether it works. Our guide to rush orders and how fast you can really get custom tote bags in Europe explains what can be sped up and what cannot.
Planning ahead is almost always cheaper than rushing.
Which bag works best for a conference, a wedding or an office?
The right bag depends on what it needs to do after the event.
Conference and trade show bags
For a conference or trade show, a light cotton tote is the standard choice.
A 140 g/m² cotton tote keeps the cost per bag low when you need quantity, and it packs flat for travel. It is also the bag most delegates will take home and use again.
Light bags keep the parcel weight down on large orders.
Wedding welcome bags
For a wedding, guests tend to keep a bag that feels sturdier and looks good in photos.
A heavier 220 g/m² cotton tote or a canvas tote with gussets holds a bottle of water, a snack and a small gift without straining the seams. A one-colour print keeps the design simple and elegant, and dark fabric prints with a white underbase for a clean, solid colour.

A bag that is useful after the weekend is the one that gets remembered.
Office and team bags
For an office opening or a welcome kit for new staff, the bag works as part of the brand.
A 220 g/m² tote or a heavyweight tote with gussets gives a more premium feel, and the logo is seen every day on the way to work.
Choose the weight for the impression you want to make, not only for the price.
Whichever you choose, check the price for your quantity on the product page before you order.
The light, low-cost bag for delegates, packed flat and ready to carry.
€7.47 per bag at 25 pcs, 1-colour print, excl. VAT
A heavier hand feel for welcome bags and staff kits.
€8.03 per bag at 25 pcs, 1-colour print, excl. VAT
Depth and structure for gifts, bottles and conference materials.
€9.02 per bag at 25 pcs, 1-colour print, excl. VAT
How do you handle proofs and questions across time zones?
Everything about the order runs by email, so a time difference rarely gets in the way.
We send the digital proof by email after checking your artwork, and production starts when you approve it. If your team is in Dubai, Singapore or on the US West Coast, look at the proof at the start of your working day, so your answer reaches us within hours rather than days.
It also helps to name one decision maker and one back-up, so a holiday or a long meeting never leaves the proof waiting. Send the contact at the venue early too, because that is the person the courier will call.
A quick proof approval is the cheapest way to save days.
What should you check when the bags arrive?
Check the parcel on the day it arrives, while the courier and the venue staff are still around.
Count the cartons against the delivery note and look for damaged packaging before you sign. If a carton is damaged, take a photo and note it on the delivery paper.
Open one carton and compare a bag with the approved proof, looking at the logo placement, the colour and the size. If anything looks wrong, write to us the same day with photos.
Then move the bags to a dry, safe place until the event.
How do VAT and invoicing work when you order from outside the EU?
Prices on the site are shown in euros and exclude VAT.
VAT for the delivery country is calculated at checkout, and businesses receive a proper invoice for the order. Your billing address can stay in your own country.
If you are a VAT-registered business in an EU country other than Estonia, you can enter your VAT number at checkout and the VAT is removed through the reverse charge, which means 0%. The VAT number field appears under the phone number once the full address, including postcode and city, is filled in.
You can check that a number is valid on the European Commission's VIES tool.
If your company is outside the EU, VAT is calculated for the delivery country at checkout, and you are welcome to ask us before ordering if you are unsure how it applies to you. Our guide to EU VAT and OSS for bulk custom bag orders explains the rules in more detail.
This section is general information, not tax advice, so your accountant can confirm how it applies to your company.
What if the venue itself is outside the EU?
The routes above are for venues inside the EU, and a venue outside it works differently.
If the delivery address is in a country such as Norway, Switzerland or the United Kingdom, shipping is quoted on request. Customs duties and import taxes at the destination are paid by the recipient, and the lead time is longer.
Please contact us before ordering, so we can confirm the delivery cost and timing for your country. This matters most when your event date is fixed.

Ordering bags across borders is simpler than it sounds
Ordering custom printed bags for a delivery abroad is a normal, well-trodden route, and it does not require you to be based in Europe.
Choose the bag, upload your logo, give a complete address with a named contact, and approve the proof. Then leave about four weeks for production, delivery and a safety buffer.
Check with the venue before the parcel ships, and ask us early if the destination is outside the EU.
With a little planning, your bags will be waiting in the room before your guests arrive.
