How Many Tote Bags Do You Need for a Trade Fair Stand?

The number of tote bags you need for a trade fair stand depends on how many real conversations your team will have, not on how many visitors walk through the hall.

The requests we have had from exhibitors this year were for 200 to 1,000 trade fair tote bags, and a natural cotton bag with a one-colour print costs €2.23 per bag at 500 pieces.

In this guide, I go through how to count your bags, which bag suits which visitor, what to print, what it costs and when to order so the bags are at your stand before the doors open.

Why do tote bags work so well at a trade fair?

Because a visitor with full hands needs a bag more than another pen.

At a fair, people collect catalogues, samples and business cards from the first aisle on. The exhibitor who hands them a good bag solves a real problem.

And then the bag walks. It goes through every hall, onto the train and back to the office, with your logo on the outside and often with other exhibitors' brochures on the inside.

The scale is worth a thought. According to AUMA, the association of the German trade fair industry, Germany alone hosts up to 320 trade fairs a year, with around 13 million visitors.

That is why I like to call tote bags walking business cards.

A bag is the one promotional giveaway that makes your stand visible far away from your stand.

 

How many trade fair tote bags do you need?

Count conversations, not visitors.

A big fair or trade show may have 100,000 visitors, but your team can only talk to a small part of them. So the useful number is how many people will stop at your stand and talk.

Here is the simple way I would estimate it:

  1. People at the stand. How many of your team talk to visitors at the same time?
  2. Conversations per hour. I would count with about six per person at a busy stand, and you can use your own number if you know it from past fairs.
  3. Hours and days. Multiply by the opening hours and the number of fair days.
  4. A buffer. Add 10 to 15% for partners, journalists and the colleagues who want a bag too.

Two people, six conversations an hour each, eight hours a day and three days make 288 conversations. With the buffer, that is an order of about 325 bags.

These numbers are estimates, and your own last fair is a better guide than any formula.

If you are unsure, order a few more of a bag without a date on it, because the rest will be used at the next fair.

One bag for every real conversation is the right size of order.

 

Should every visitor at your trade fair stand get a bag?

No, and that is good news for your budget.

I would split the order into two kinds of bags. A light cotton tote goes to everyone who stops and talks, and a heavier bag is kept for booked meetings, existing customers, partners and journalists.

The light bag does the visibility work in the halls. The heavier bag says thank you, and it is the one that is still in use a year later.

The minimum order is 25 bags per design, so even a small batch of premium bags is possible next to a large order of giveaway bags.

Two bags for two kinds of visitors cost less than one expensive bag for everybody.

Which bag suits a trade fair stand best?

The best trade fair tote bags are light, flat and big enough for an A4 catalogue.

The classic cotton tote is 38 × 42 cm and 140 g/m². It holds 10 litres, it has 67 cm handles that go over the shoulder, and it takes A4 brochures flat.

If your catalogue is thick or you hand out samples, choose a bag with gussets. A gusset is the extra panel of fabric at the sides and the bottom that gives the bag its depth.

Our 220 g/m² gusseted tote has 10 cm gussets at the sides and the base, so a thick catalogue and a water bottle both have room.

For the premium bag, the 340 g/m² heavyweight tote with gussets feels like a real shopping bag. It is the one I would keep for your best customers.

Natural or your brand colour for trade fair tote bags?

Both work, and the choice changes how your stand looks from a distance.

A natural cotton bag is the least expensive, and almost any logo colour reads well on it. A coloured bag turns every visitor into a moving spot of your brand colour in the aisle.

The classic tote comes in 48 stock colours, from bottle green and navy to orange and fuchsia. On a dark bag, a white print is the safest choice.

One warning from experience. This summer, a software company from Germany asked us for lemon yellow bags for a September fair, in quantities of 200 to 400.

When we checked, that yellow was out of stock at our usual supplier, and we had to find a matching yellow elsewhere.

Popular colours can run out in the busy autumn weeks, so a brand colour is one more reason to start early.

What should you print on trade fair tote bags?

A logo that can be read from five metres away.

The aisle is the place where your bag is seen, so size matters more than detail. The classic tote has a print area of up to 33 × 36 cm, and it is worth using it.

  • Your logo, large. One strong print colour is usually enough.
  • Your website. Short and readable, under the logo or on the back.
  • A line that says what you do. Visitors forget a name faster than a clear promise.
  • No date and no stand number. Then the same bags work at the next fair.

Screen printing suits one-colour and two-colour logos, and it is the most economical method for larger orders. Full-colour digital transfer printing (DTF) suits photos, gradients and designs with many colours.

DTF also lets you split one order into several designs, with at least 5 bags per design and 25 bags in total. That is handy if you want one design per product line or per language.

With screen printing, each design needs its own screens, so the minimum is 25 bags per design.

You always get a digital proof before anything is printed, so you see the size and the placement of the logo first.

Print for the aisle, not for the desk.

 

What do trade fair tote bags cost?

Less per bag as the number of bags grows.

Here are today's prices per bag with a one-colour print on one side, excluding VAT:

So 500 natural classic bags come to €1,115.00 before VAT. For 300 bottle green bags, the price is €2.80 per bag, or €840.00 in total.

Add 25 heavyweight bags for your key meetings at €9.02 each, and the premium batch costs €225.50.

Compared with the cost of the stand itself, trade show tote bags are a small line in the budget.

 

When should you order tote bags for a trade fair?

About four weeks before the bags must be in your hands.

Production and delivery typically take 10 to 15 working days, and the clock starts when you approve the digital proof, not when you order.

Take MIF Expo in Paris as an example, which runs from 12 to 15 November 2026. If the bags should arrive by Monday 9 November, the proof has to be approved by Monday 19 October at the latest.

I would add a week on top of that, because the artwork often needs one more round inside the company.

In August, a Finnish manufacturer wrote to us about 1,000 natural cotton totes for a trade fair. The email arrived just over two weeks before the day the bags had to be there.

The honest answer to a request like that is that it can only work as a rush run, confirmed within a day or two. That is possible sometimes, but it is not a plan.

The earlier the proof is approved, the calmer the last week before the fair.

 

Where should trade fair tote bags be delivered?

To an address where a person you know will sign for them.

For many exhibitors, that is their own office, a few days before the team leaves for the fair.

A hotel or the venue itself is possible too, and we deliver within the EU. Exhibition centres often have their own rules, though, such as fixed delivery times during the build-up or a hall and stand number on every parcel.

So check the exhibitor manual of your fair before you choose the venue as the delivery address. We need the complete address, a contact name and a phone number for the courier.

A parcel that arrives at your office a week early is worth more than one that arrives at the hall on the opening morning.

 

How do you hand out bags at your trade fair stand?

With a conversation first, and the bag second.

A pile of free bags at the edge of the stand disappears quickly, and you have spoken to nobody.

Three things work better:

  • Hang a few bags where they are seen. A printed bag on the stand wall shows visitors what they can get.
  • Hand it over personally. After the conversation, with your catalogue already inside.
  • Let your team carry one. A bag on every shoulder is a moving sign on the way to lunch.

Put one useful thing in the bag, such as your catalogue or a sample, and leave the rest of the space for the visitor. A bag stuffed with paper feels heavy by the second hall.

A bag given by hand is remembered together with the person who gave it.

 

What happens to trade fair tote bags after the fair?

The good ones go on working for years.

A cotton bag only earns its place when it is used many times, so a bag people like is also the more responsible choice.

Leftover bags are not lost either. Without a date on them, they go to the next fair, into welcome kits for new colleagues or along with customer orders.
